Activities Log

Overview

Internal users can monitor all interactions and activities occurring on External Shares. This tracking provides transparency on how external collaborators engage with your shared content.

1. Share-level activity (individual Share link)

Internal users can view activity details for a specific Share link by editing the Share and navigating to the Activity tab.

Each Share includes the following summary information:

• Created by

• Created date & time

• Last updated by

• Last updated date & time

• Status (e.g. ACTIVE)

• Opened (number of views)

Filters available in Share activity

Internal users can filter activity logs using the following fields:

• Source

  • Page / Comment / Attachment

• Action

  • All, Added, Edited, Viewed, Fetched, Updated

• User

  • Search by user name

• Email

  • Search by email address

• Visible Users

  • Logged-in / Anonymous

2. Confluence Page & Space Level Activity

This view is ideal for a quick health check of all shares associated with a specific Confluence page or space.

• How to Access: Click the External Share app icon on any page or space where a link has been created → Select the Activity tab.

• Use Case: Since one page can have multiple Share links with different configurations, this view allows you to see all associated activities at a glance without switching between individual share settings.

3. Global activity view

External Share admins can view all activities across all shares.

Logged fields (Global activity list)

Each activity entry includes:

• Page name

• Link

• Source

• Action

• User

• Email

• IP address

• Share (Edit/Delete)

• Date & Time

User types

Two types of external users logged on the activity list:

1. Authenticated users with username

2. Anonymous users (access may vary depending on security config)

Authenticated users

Any external user that is logged in to External Share, these users have a user name.

Anonymous users

Any external user with access to the link, any activity on the page is logged even if the user is not Logged in to External Share.
Depending on the share’s security configuration, anonymous users may or may not have access to the share.
