    Approval / Consent action

In this step, one or more members from a Jira group can vote to either approve or reject. Once activated, a notification is sent to all group members, asking them to take action. The user can click 'approve' or 'reject' buttons (or Abstain button, depending on setup) on the Jira work item (issue).

It's important to note that once a decision is made, it remains final, and the only way to roll it back is to delete the current approval and start a new one. Only a user with appropriate permissions can delete or archive an approval.

Consent is similar to Approval. Learn more about it on the FAQ page.

    Notification action

All group members will be notified about the current progress. They might be interested in knowing progress or results, but those people have no involvement in decision-making. Possible use cases:

    1. Used at the beginning of the approval process to notify team members about the new project proposal.

    2. Used as the last step in the approval process to notify the Jira administrators about needed changes in the Jira structure.

    Additional configuration

    • Number of votes required for the group step to pass (applied only in case of Approval or Consent action)
The number of accepted votes that are required for the current group step to mark the step as completed successfully and move the approval process to the next step (if there is a next step) or complete the whole approval process successfully.

    • Number of votes required for the group step to fail (applied only in case of Approval or Consent action)
The number of rejected votes required to mark the current group step as failed.
For example, if there are 2 votes required for the group step to fail, then the first ‘Reject’ action won't stop progress. The step can still be completed successfully until the second ‘Reject’ action is cast.

    Requiring comment on actions

If this checkbox is selected, the approver will be required to provide a comment when approving, rejecting, or abstaining from approving a work item. This ensures that the reasons for decisions are clearly communicated, providing feedback for the assignee and keeping transparency in the approval process.

    Exclude from group

    image-20260522-081752.png

    Exclude approval creator

Enabling this option automatically excludes the user who initiated the approval definition. This ensures other team members must participate for the path to be completed.

    Users from custom fields

This control allows you to search for and select Jira custom fields to exclude assigned users dynamically per work item.

It seamlessly supports both single user picker and multi-user picker custom fields. When a multi-user picker field is selected, all users present in that field at the time of step evaluation will be automatically filtered out from the group approver set. If the field is empty, it resolves to an empty exclusion list without breaking the step evaluation.

You can configure a flexible mix of multiple single and multi-user picker fields within the same search box.

    • Skip the group from the approval path if it doesn't contain any users

      • When checked, the group will be skipped from the approval path without displaying the message about an empty group.

    Work item watchers notification

This functionality empowers easy management of the update notifications for approval paths sent to work item watchers. It provides the ability to prevent the reception of unnecessary notifications.

    Create a step condition

This feature allows the inclusion of a specific step in the approval process if it aligns with a condition defined in Jira Expressions. Once selected, the step will only be added to the approval workflow when the condition is fulfilled.

Should the condition not be met or encounter an error, the step will not be part of the approval process. Find more information regarding conditions in our documentation.

    Label condition

The Label condition determines whether this approval step is included in the approval path based on the labels assigned to the work item.

When configured, this step will only be added to the approval path if the defined label criteria are met. You can specify that:

    • The work item must include one or more specific label(s), AND/OR

    • The work item must not include one or more specific label(s)

If the work item satisfies the configured label condition, the approval step is automatically introduced into the approval path. If the condition is not met, the step is skipped.

    Group Step Display

There is an option to expand the group step to display users, with the default view showing a compact version. When you hover over the person icon, a tooltip saying Click to view members appears, allowing you to check the group members.
