Share Link Options
Overview
When you create an external share link, a full-screen configuration window opens with four main tabs: General, Security, Content, and Spaces.
The number of times a share has been opened is also shown as Views next to the Preview, Access, and Activity tabs, so you can check it without leaving the share form.
The preview matches your current Confluence theme (light or dark) and updates if you switch themes while the form is open.
General
When creating a link, you can give it a Link Name and Description for internal tracking.
Public link
Use public link gives the share a shorter URL that includes the Link Name.
Readable link
It adds the page title to the URL. It's enabled by default. If both options are enabled, the page title is used instead of the Link Name. The title in the URL is cosmetic, so renaming the page doesn't break the link.
With Readable link enabled, the page title is visible in the share link URL. If your page titles are confidential, clear Readable link for the share, or disable it for the whole space in Space Configuration. Disabling it only affects new links. Links already sent keep working and still show the title.

Options - Share child pages / Search pages
When Share Child Pages is enabled, you can optionally allow visitors to search within those pages using label filters. Both the Share and Search options use the same filtering logic. You can include or exclude pages based on labels, and decide whether a page must match any or all of the selected labels.

AI-powered search
When an AI provider is configured for the site, an AI-powered search row appears under Search pages with an Enable checkbox and the tooltip Answers natural-language questions using the shared pages' content. With it enabled, external viewers can ask plain-language questions instead of matching keywords, and a short AI-written summary appears above the results.
The row is shown only while Search pages is ticked. Unticking Search pages hides the row and turns AI search off for the share. Your choice is remembered, so ticking Search pages again brings the row back as you last set it. The checkbox is ticked by default when the space has AI-powered search enabled.

Spaces

Access
The Access tab shows who can open a share and who has already opened it. You'll find it between the Preview and Activity tabs.
Labels at the top show which restrictions are active: Selected users, SSO sign-in, Password, IP restriction, or No restrictions. Hover over a label for details.
Each person is listed with how they got access, their first and last visit, and their number of visits. The Access column shows one of the following: Invited, Allowed domain, SSO, Password, Public link, or Not recorded. Hover over it to see the person's full access history. You can search by name, email, or IP address, and sort by any column except Access.
By default, only people who currently have access are shown.
For restricted shares, two filters are available:
Include past viewers also shows people who opened the share but no longer have access.
Only people who opened it hides people who haven't visited yet.
For shares limited to email domains (without SSO), a summary may show how many users from those domains haven't opened the share yet. It counts only users this site has already shared content with. For SSO-only shares, only people who have opened the share are listed.
Click a person to open the Activity tab filtered to that person.
From share lists. In the page, space, and global share lists and in My Links, the people icon in the Options column opens the Access tab directly. The icon appears for shares with selected users or SSO sign-in.
The Access tab is available only in the Forge version of the app.
