Admin global view
The global view for the users with higher permissions allows for full control over all aspects of the Approval Path.
To access the global view, go to apps on the left panel of the Jira instance and select Approval Path.
Approvals
The Approvals view allows users to filter, view, and manage all active approvals across all spaces.
You can download the approvals list as a CSV file for easier management.
The approvals can be filtered by:
Approval name
Definition
Status (In progress, Approved, Rejected, Archived, Expired, Up-to-date, Any)
Project
JQL search
By using Add more filters, you can customize your search filter.
It can be further specified if a user is looking for an awaiting decision, rejection, or approval by a user/group/email/work item field and the selected user.
By default, the approvals shown are “up-to-date”.
Now you can save filters and share with your organization.
From the Approvals List, the user can see:
Approval Name
The Originator of the approval
Current Step’s owner: who is supposed to take action now
The Space of origin
The Work item of origin
Approval Status and step
Approval Progress
Expiration date (if set)
Start time and date
Modified time and date
Quick Action Buttons:
Approve
Reject
Send a notification
Open the approval in a work item
Archive the approval
Delete the approval
How to find your pending approvals?
To view your pending approvals, simply click the My pending approvals (
) icon.
Alternatively, you can apply the filter Awaiting decisions by - user name. This is especially useful when searching for pending approvals assigned to another user.
Activity
The activity tab allows you to view all activities that have taken place for approvals on the entire instance.
You can download the approvals' activity list as a CSV file for easier management.
The user can search for a specific space from which the approval originates.
The table of activities shows:
Approval Name
Originator
Step: a person who is supposed to take action now
Decision: gives a status of the approval
Space of origin
Work item of origin
Action Date
Actions (shows once approval is hovered): allows opening the selected approval on the work item page
Definitions
In this tab, the admin can view, filter, create, and manage all approval definitions across all spaces.

The table contains all approval definitions (if not filtered). The user can find here:
The ID of the approval definition
Definition Name
Space of origin: This can contain either the space or a globe symbol, meaning the definition is global and can be used on every space
Path: show the structure of the definition
Actions (once hovered): they allow for editing, duplicating, or deleting the definitions
Toggle ‘Show global definitions’ in the filters to view only global definitions.
Conditions
The conditions enable the user to set criteria using Jira expressions. The selected expression is assessed by the Jira REST API according to the chosen condition evaluator. These conditions act as qualifiers for either triggering an approval or including a step within it.

Toggle ‘Show only active’ in the filters to view enabled conditions in the date range.

Delegate
The Delegation feature in Approval Path enables internal approvers to delegate their approval steps to another user during their absence or other circumstances. This functionality ensures the continuity of the approval process by allowing another user, the delegatee, to take action on behalf of the delegator.

Settings
This tab allows you to configure various settings for the approval path. To learn more about the settings tab, click here.
API Keys
Here, the user can manage and generate API Keys that allow advanced automation of the Approval Path. To read more about API Keys, click here.
Preferences
On this tab, a user can customize their own preferences for how they want the Approval Path to be displayed on the work item level.
Instance errors
The Instance Errors tab helps monitor problems that occur during the approval process.
Includes a paginated list with a filtering option
CSV export: Allows downloading the error list
Each error entry includes hidden details that can be expanded to show more in-depth information (e.g., level, stack trace, expression source, workflow ID).
