This feature works only in software projects.

Sharing Jira Kanban boards

In some cases, you may want to share an existing Jira Kanban board instead of creating a custom board inside External Share for Jira.

For example, you might want external users to:

  • Follow progress on an active Kanban board.

  • See only selected work items.

  • Access a familiar board layout already used by your team.

External Share for Jira allows you to securely share Jira Kanban boards by connecting them to saved filters.

Prerequisites

Before sharing a Jira Kanban board, make sure that:

  • The board belongs to a company-managed software project.

  • The board is based on a saved filter.

  • You have permission to view and edit the board and its filter.

  • Boards from team-managed projects cannot be customized using JQL and cannot be shared this way.

Step 1: Prepare a saved filter

If your existing board already uses a saved filter, you can reuse it.
Otherwise, create a new filter to control which work items are visible.

For example, to exclude backlog items and show only active work items, you can create a filter that limits results to issues in active sprints.

  1. Open Filters → View all filters.

  2. Click Create filter.

  3. Select your space and switch to JQL.

  4. Adjust the query to match the scope you want to share.

  5. Save the filter.

This filter determines which work items external users will see on the shared board.


Step 2: Create or update a Kanban board

Next, make sure your Kanban board is based on the saved filter.

  1. Open Jira and navigate to your space.

  2. Open the board menu and select Create board .(or Board settings for an existing board)

  3. Choose Kanban board.

  1. Select Board from an existing saved filter.

  2. Choose the filter you prepared in Step 1.

  3. Save the board.

Your Jira Kanban board is now ready to be shared externally.

Step 3: Grant access to External Share for Jira

To allow External Share for Jira to use the filter:

  1. Go to Filters and find the filter used by the board and click Edit.

  2. In the Editors section, add External Share for Jira as a user.

  3. Save the changes.

This step is required so External Share for Jira can display the board content to external users.


Step 4: Share the board using External Share for Jira

  1. Create a new External Share.

  2. Select Board as the share type.

  3. Choose the Jira Kanban board you prepared from “Board” selector.

  4. Configure security and sharing options as needed.

  5. Share the generated link with external users.

Copy URL, or send via email


Result

External users will be able to:

  • View the shared Jira Kanban board.

  • See only the work items allowed by the filter.

  • Track progress without accessing Jira directly.

All permission is controlled through External Share for Jira settings.
Admins can configure board share options to control what external users can see and do.

Once the external link is shared, admins can track activity and monitor usage.
For more details, refer to the Activity documentation to learn about available functionalities.
