How to Share with Specific External Users
Overview
Using External Share for Jira, you can share work items, boards, filters, timelines, redirect shares, and attachment shares with specific external users only.
This feature adds an extra layer of security. If you want to share a link only with a selected external user or users, and make sure the link is not forwarded any further, you can restrict link visibility to just those users.
Accessing the Feature
The Share with specific users option is available in the share form. You can restrict access by email address, by domain, or both. These values can be updated or removed at any time.
Recipients (email addresses) grant access to specific people.
Domains grant access to anyone with an email address on that domain.
Access Requirements
Link is accessible only for logged in users who have an External Share for Jira account.
A list of all external user shares is available on the Dashboard.
More information about registering an account on our platform could be found here.
Restrictions
You can allow share access only for users with specific email addresses, or for any email address from a specific domain. This can be set at two levels: global default project configuration and individual share itself.
Configuration Hierarchy
The two levels work together. The space configuration sets what is allowed, and each share can then restrict access further within that allowance.
If a share's settings conflict with the space configuration, the space configuration takes precedence.
If a share's settings all fall within what the space configuration allows, they are not affected.
If only part of a share's settings falls within the space configuration's conditions, only the overlapping part is applied.
Setting it at the space level
Open Space Configuration and go to the Security section.
Find Selected Users and set it to Allowed (or Required, to force every share in the space to use it).
Under Allow share access only for users with email addresses, enter the allowed email addresses, and under or any email address from domain, enter the allowed domains.
Save.
Setting it on an individual share
When you create a share, you can restrict it further in the share's link options:
In the share configuration, open the Security tab.
Turn on Share with specific users.
Under Recipients, add the specific email addresses, and under Domains, add the allowed domains.
Now the link can be opened only by the email addresses and domains you listed (within what the space configuration allows).
